Cancellation Policy

There are many pieces that need to come together to ensure that our members have meaningful and enriching activities while in our care.  One of those pieces is to ensure that we have adequate trained staff ready to work. When last minute changes are made, AAFS remains responsible for paying staff a minimum of 2-hours (Alberta Labour Standards). 

Cancellation Policy for Activities

  • Cancellations MUST be submitted 48 hours or more before the start of the activity.

    Cancellation Policy for Specialized Programs (or Programs spanning multiple weeks)

    • Cancellations for Specialized Programs MUST be submitted 7 days before the first scheduled activity 

    Cancellations submitted less than 48 hours or 7 days prior to the start of the activity
    will be billed for the entire activity


      If you are unable to attend a scheduled activity (or program), please e-mail cancel@aafscalgary.com and include:

      1. Members name 
      2. Date you are cancelling
      3. Name of activity

      AAFS Billing Policy
      • All events will be invoiced for the full duration
      • Anyone arriving late or picked up early will be billed for the entire duration of the event. Exceptions are made for inclement weather, or major incidents, at the discretion of AAFS.
      • Activities where AAFS pre-purchases tickets (Disney on Ice, the Calgary Comic and Entertainment Expo, Slide the City etc.), members are responsible for the full cost of the ticket. AAFS will make every effort to fill the vacant spot. However, if we are unsuccessful in finding a member to take your ticket, the full cost of the ticket will be invoiced to your account. If we can fill the spot, no fees or charges will be charged to your account.
